Refund Policy

At SafePractix, we aim to maintain a fair and transparent payment experience for doctors, clinics, and medical establishments. This Refund Policy should be read together with our Terms of Use, Privacy Policy, membership documents, insurer policy terms, and any proposal, quotation, invoice, or service-specific agreement issued to you.

• Payments made for membership activation, onboarding, advisory review, documentation preparation, legal coordination, and technology enablement are generally non-refundable once service delivery, review activity, or platform provisioning has begun.
• Refunds are considered only in limited circumstances such as duplicate payments, billing errors, failed payment capture without service activation, or approved cancellation before meaningful processing has started.
• Any refund granted by SafePractix is processed solely at our discretion unless otherwise required by applicable law or expressly committed in writing.

• Duplicate Payment: If you are charged more than once for the same order, invoice, or subscription cycle, the excess amount may be refunded after verification.
• Failed Transaction With No Service Activation: If money is debited but the service, account, or booking is not activated due to a technical failure, the payment may be reversed or refunded.
• Incorrect Billing by SafePractix: If we raise an invoice in error, apply an incorrect amount, or charge for a service not requested by you, the excess portion may be refunded or adjusted.
• Cancellation Before Processing: If you request cancellation before onboarding, case review, insurer submission, or other operational work begins, a partial or full refund may be considered after deduction of applicable charges.
• Unavailable Service: If SafePractix confirms a paid service cannot be delivered for operational reasons attributable to us, we may offer a refund, credit note, or equivalent replacement.

• Membership fees, renewal charges, onboarding fees, and plan activation charges once the subscription has been activated or internal processing has commenced.
• Fees for completed legal consultations, advisory reviews, case assessments, drafting support, documentation work, or other professional time already spent.
• Payments relating to insurer-issued proposals, premiums, policy issuance, endorsements, or underwriting actions once such downstream activity has begun.
• Refund requests based solely on change of mind, non-use of the service after activation, or delay caused by incomplete information from the user.
• Taxes, duties, payment gateway fees, banking charges, or third-party deductions already incurred and not recoverable by SafePractix.

• Where SafePractix facilitates access to third-party insurance products, refund eligibility is also governed by the applicable insurer's cancellation and premium refund rules.
• If a proposal has been submitted to an insurer, underwriting has started, or a policy has been issued, any premium refund will depend on insurer approval, short-period cancellation rules, statutory deductions, and policy terms.
• SafePractix cannot guarantee refund of insurer premium once coverage has incepted, documents have been issued, or risk has attached under the insurer's process.
• If an insurer rejects a proposal before policy issuance, SafePractix may coordinate available premium reversal subject to insurer timelines and deductions, if any.

• Legal response, consultation, panel coordination, document review, or case preparation fees become non-refundable once review has started, counsel has been assigned, or strategy work has been performed.
• If a matter is withdrawn by you after work has begun, SafePractix may retain the amount corresponding to time spent, documents reviewed, third-party coordination, and administrative expenses already incurred.
• If a booked legal or advisory session is missed, rescheduled at very short notice, or delayed due to your unavailability, we may treat the related fee as consumed or apply a rescheduling charge.

• Written Request: You must submit refund requests in writing to support@SafePractix.in with your full name, registered contact details, invoice number, payment date, transaction reference, and clear reason for the request.
• Supporting Records: We may ask for bank proof, payment screenshots, invoices, service correspondence, or insurer communication before a request can be reviewed.
• Incomplete Requests: Incomplete, misleading, or unverifiable refund requests may be delayed, kept pending, or rejected.

• SafePractix typically reviews complete refund requests within 7 to 10 business days, although complex matters involving insurers, banks, or external vendors may take longer.
• Approved refunds are usually processed back to the original payment source where feasible. If that is not possible, an alternate lawful mode may be used after identity and ownership verification.
• Banking, payment gateway, UPI, card network, or insurer processing times are outside our direct control, and final credit timelines may vary after approval.

• You are encouraged to contact SafePractix before initiating a chargeback or payment dispute through your bank or card provider.
• If a chargeback is filed while services are active, under review, or already delivered, we may suspend access, pause work, or contest the dispute using available transaction and service records.
• Fraudulent or abusive refund claims, reversals, or chargebacks may lead to account restriction, recovery action, or refusal of future service.

SafePractix may update this Refund Policy from time to time to reflect operational, legal, regulatory, insurer, or payment-processing changes. The version published on our website will govern future transactions from the effective date of update unless otherwise stated.
